Privacy Notice

This Privacy Notice is our privacy policy. It covers the Take Point Fitness website and web app (including its Hybrid and Operator editions), the Take Point Fitness apps for iOS and Android, our marketing website at www.takepointfitness.com, and TPF Benchmark (benchmark.takepointfitness.com and operatorbenchmark.takepointfitness.com).

Who We Are

Take Point Fitness Ltd (“Take Point Fitness”, “TPF”, “we”, “us”, “our”) is the controller of the personal information described in this Privacy Notice: we decide why and how it is used, and we are responsible for it under UK data-protection law.

Scope of This Notice

This Privacy Notice explains how we collect, use, disclose, store, and protect personal information when you:

  • Visit our website or use our services,
  • Use our marketing website or TPF Benchmark, or join one of our email lists,
  • Communicate with us.
  • Create an account, or
  • Otherwise interact with us.

Information We Collect

We may collect the following categories of personal information:

Information you provide directly

  • Your email address and password, and your first name if you give it
  • Your month and year of birth, asked when you sign up
  • A username, if you choose one
  • Your country, if you choose to give it when you sign up
  • How you heard about us, if you choose to answer at sign-up
  • If you subscribe on our website: your plan and the status of your subscription. Card details are entered on Stripe’s payment page and are not stored by us.
  • Messages, support requests, or feedback — including messages you exchange with a coach in the app
  • A profile photo, if you add one. It is shown to the people you connect with, and anyone who has its web address can view it. We remove the hidden details a camera adds to a photo, such as where it was taken, before uploading it.
  • The places you train, if you add them — their names, equipment and the town they are in
  • The email address of anyone you invite to connect with you in the app, used only to find their account and send the invitation
  • A record of when you accepted our Terms of Service and confirmed you had read this notice, when you were shown our training-safety notice and any warning shown before a particularly demanding built-in programme, and which version of each you saw

Training and health-related information

The service is a training app, so most of what it holds describes your body and your exercise. You enter this yourself, and you can view, change or delete it in the app at any time:

  • Sex, age, height and bodyweight, including a history of bodyweight entries
  • Training records — the sessions you plan and log, the loads, reps and times you record, personal bests, and test or benchmark results
  • Experience level, goals, available equipment and training preferences, and (in the Operator edition) a training pathway, which can name a military service and a selection date
  • Injuries, pain or movement restrictions, where you choose to record them, and exercises you have marked as ones you cannot or prefer not to do

Some of this may count as health data under data-protection law. We ask for it only because the app cannot prescribe training without it, we do not use it for advertising, and we do not sell it. If you link to a coach, see Sharing of Information below for what they can see.

The Health section (adults only)

If you are 18 or over and your plan includes it, the Health section lets you record health information that is more sensitive than your training data:

  • blood-test results, and any targets you set for them yourself;
  • body-composition scan results (for example from a DEXA scan);
  • bone-density scan results;
  • photos of the reports these came from, if you attach them.

The Health section opens only once the date of birth on your account shows you are 18 or over (see Children’s Privacy below). If your account does not have one yet, the Health section asks for your month and year of birth, once. We do not show it to a coach or anyone else.

Each kind of health information has its own switch. Nothing is stored until you turn that switch on and confirm your consent, and we keep a record of each consent you give or withdraw and of the wording you were shown. We use this information only to store it, show it back to you over time beside your training, and remind you when a re-test may be due. It is not shared with a coach, friends or training partners, and it is not used for analytics or advertising. You can withdraw your consent for each kind at any time in the Health section, and choose then whether to keep or delete what you entered.

The “Help us improve TPF” questionnaire

The app offers an optional in-app questionnaire about your training, the equipment and time you have, which parts of the app you use, and what you think of it. Please note:

  • It is entirely voluntary. Every question is optional and nothing in the app is withheld if you skip it or never open it.
  • Your answers are linked to your account — they are not anonymous. This is deliberate: it lets us read what you told us alongside how the app is actually working for you.
  • When you submit, we attach a snapshot of information already held on your account so we do not have to ask you for it again. That snapshot covers your sex, an age band, bodyweight, experience level, training goal, subscription plan, which edition of the app you use, how long you have had an account, and how you told us you heard about us.
  • We keep one set of answers per person, which you can reopen and change. If you submit again, the newer answers and a fresh snapshot replace the previous ones.
  • Responses are stored on our own systems. We do not pass them to a third-party survey provider.

We use the responses to decide what to build, fix and change. Deleting your account deletes your questionnaire response with it, and you can ask us to delete it at any time by emailing privacy@takepointfitness.com.

Refer a friend

Every account has its own referral link (Account, then Refer a friend). If someone signs up through your link, the code in it is stored on their account. When they first pay for a subscription on our website, our payment system uses that code to give you a discount on your next payment, through Stripe, and they can enter a discount code when they pay. We do not show either of you the other’s name or email address. If you signed up through someone else’s link, their code is stored on your account for the same purpose.

Information collected automatically

  • Device and browser information
  • IP address and approximate location
  • Usage data, logs, and analytics
  • Error reports, if you agree to analytics
  • Cookies and similar technologies

Usage analytics and error reports — only if you agree

We use PostHog, a product-analytics service, to see how the service is used and to find and fix faults. It stays switched off until you agree to it, and saying no does not limit anything in the service:

  • on the website, you choose with the cookie banner (“Accept analytics” or “Essential only”);
  • in the iOS and Android apps, you choose when the app asks “Help improve TPF” (“Accept” or “No thanks”). Closing that question without answering counts as no.

If you agree, we collect:

  • Usage — the pages and screens you open, the buttons and controls you use, and how long you spend in the service. The text shown on screen is masked before it is sent. Hidden labels and tooltips attached to controls are not sent either: for each control you use, we record only what kind of control it is (a button or a link, say) and where it sits on the page.
  • Error reports — when something in the service goes wrong: the kind of error, its message, where in our code it happened, and the page you were on.
  • Technical details — your device type, operating system, browser, screen size, the app version and which edition of the app you use.
  • Identifiers — a random identifier stored on your device and, once you sign in, your account’s internal ID together with your subscription plan and status. We do not send your name or email address to PostHog.
  • Approximate location — PostHog receives your IP address with each request. It does not keep the address, but may use it, before discarding it, to estimate the country and town or city you are in.

Once you sign in, this information is linked to your account — it is not anonymous — including anything recorded on that device before you signed in. We do not use session recording (a replay of your screen) or heatmaps. We do not use any of it for advertising, and we do not sell it. PostHog processes it on our behalf, on its EU cloud, which stores data in the European Union.

We rely on your consent for this. You can withdraw it at any time and collection stops straight away: on the website, use Cookie settings (below, or in Account, under Privacy); in the apps, turn off “Share usage analytics” in Account, under Privacy. Withdrawing does not affect what was collected before you withdrew. To have analytics already collected about you deleted, contact privacy@takepointfitness.com.

Once you are signed in, your choice belongs to you, not to the device: someone else signing in on the same phone or computer is asked for their own choice. We keep a record of each choice you make — accepted or declined, when, and the version of the wording you saw — in your account, so we can show that you chose and so you are not asked again on another device.

Separately from that choice, when your subscription changes on the website our payment system records the change in PostHog — the previous and new plan and when it happened — so that we can count upgrades, downgrades and cancellations. This record is not linked to your account: it carries no account ID or other identifier, and PostHog does not keep a profile for it. (Until October 2026 it carried your account’s internal ID; those earlier records are kept with your other analytics.) We rely on our legitimate interest in understanding our subscriptions for this, and you can object to it — see Your right to object below.

Our marketing website

On www.takepointfitness.com you can ask for two kinds of email, each by ticking a box that starts unticked:

  • The quarterly TPF email — we keep your email address, the wording you ticked and when you ticked it. Your address is held on our mailing list at Resend, our email provider, which stores it in the United States (see International Data Transfers), or sent to our own inbox. Every quarterly email has a link to unsubscribe, or you can email privacy@takepointfitness.com.
  • The app waiting list — we keep your first name, your email address, the wording you ticked and when you ticked it, sent to our own inbox through Resend, so that we can tell you when the iPhone and Android apps are available. To be taken off the list, email privacy@takepointfitness.com.

We rely on your consent for both, and keep your details until you unsubscribe or ask us to delete them.

TPF Benchmark

TPF Benchmark uses the same accounts as the Take Point Fitness app.

  • Saving your results — if you are signed in and choose to save, we store your details (sex, bodyweight, age and pathway) and your results on your TPF account, and copy your 1RMs and race times into your profile in the app. They are deleted with your account.
  • The percentile pool — only if you tick the box (it starts unticked), your results and overall score are added to the pool we use to work out percentiles and to review TPF’s standards. They are stored with your sex, your age band and which edition of TPF Benchmark you used (and, in the Operator edition, the unit), dated to the month — but not with your account, name, email address or bodyweight. Because they are not linked to you, we cannot find them to remove them later, and they stay in the pool after you delete your account.
  • Standards updates — if you tick the box to ask for them, we keep your email address with the site and pathway you signed up from and the date, only to send those updates. To unsubscribe, email enquiries@takepointfitness.com or privacy@takepointfitness.com.

Analytics on our marketing website and TPF Benchmark

Our marketing website and TPF Benchmark use PostHog too, only if you agree in their cookie banner, and nothing is recorded before you do. The two sites share one choice, kept in a cookie called tpf-consent: a choice made on one applies on the other. The app asks you separately. With your agreement, PostHog records the pages you visit and what you click, with a cookie that recognises your browser across our sites, and it can link those visits to your TPF account if you sign in to the app or to TPF Benchmark with analytics switched on. Whatever you choose, Vercel Web Analytics, from our hosting provider, counts visits to these sites without using cookies.

Information from other people and organisations

  • A coach can create your account for you from your first name and email address; you then receive an email inviting you to set your own password. A coach you are linked to can also change some of your details and keep their own notes about you (see Sharing with a coach).
  • Someone who wants to connect with you — a coach, friend or training partner — can type your email address or username to invite you.
  • Stripe, our payment processor, tells us whether a payment succeeded and the status of your subscription.
  • Cloudflare tells us whether the sign-in form passed its automated check that you are a person rather than a bot.

Apart from the training and health-related information described above, which the service cannot work without, and what you choose to record in the Health section, we do not intentionally collect sensitive personal data unless strictly necessary and consented to and permitted by law.

What you have to give us

To create an account you need to give us your email address, a password and the month and year you were born; without them we cannot open an account. Everything else is optional. If you leave out training details such as your bodyweight, experience or 1RMs, the app can still be used, but it cannot tailor your training as closely. Nothing you give us is required by law.

How We Use Personal Information

We use personal information for the following purposes:

  • To provide and operate our services
  • To generate your training plan, progressions and scores from the training and health-related information you enter
  • To manage accounts and transactions
  • To communicate with users
  • To improve performance, security, and functionality
  • To understand how the service is used and decide what to build next, including by reading questionnaire responses alongside the responding account
  • To comply with legal and regulatory obligations
  • To prevent fraud and misuse

We do not sell personal information.

Legal Bases for Processing

For each purpose, the legal basis we rely on under UK data-protection law is:

  • Running your account and the service — storing your programs and training records, calculating your plan, weights, progressions and scores, keeping your devices in step, the coach and social features you choose to use, and the emails the service needs to send (sign-in, invitations and notifications): performance of our contract with you.
  • The Health section: your consent, and because this is health data, your explicit consent, given separately for each kind of health information.
  • Usage analytics and error reports: your consent.
  • The questionnaire: your consent — you choose whether to answer, and can ask us to delete your response.
  • Taking payment and managing your subscription: performance of our contract with you. Keeping records of payments: compliance with our legal obligations (tax and accounting).
  • Counting subscription changes in PostHog, in a record not linked to your account: our legitimate interest in understanding how many people upgrade, downgrade and cancel.
  • Keeping the service secure — the automated bot check on the sign-in page, limits on how often some actions can be repeated, and security and error logs: our legitimate interest in protecting your account, other users and the service from misuse.
  • Answering requests from authorities and dealing with legal claims: compliance with our legal obligations, or our legitimate interest in establishing or defending legal claims.
  • Keeping a record of what you accepted — the Terms, this notice and the safety notices you were shown: our legitimate interest in being able to show what you agreed to and what you were told.
  • The referral scheme: performance of our contract with you.
  • Our email lists (the quarterly TPF email, the app waiting list and TPF Benchmark updates), adding your results to the TPF Benchmark percentile pool, and analytics on our marketing website and TPF Benchmark: your consent.
  • Saving your results on TPF Benchmark: performance of our contract with you.
  • Blocking and reporting other users — carrying out a block you make: performance of our contract with you. Storing reports, and keeping each one for 12 months as a safety record: our legitimate interest in keeping the people who use TPF safe and enforcing our terms.
  • Counting visits to our websites with Vercel Web Analytics, which uses no cookies: our legitimate interest in knowing how many people visit.

Sharing of Information

We use these service providers, who process personal information on our behalf and only on our instructions:

  • Supabase — our database, sign-in and file storage
  • Vercel — hosts the website and the servers behind the apps, and counts visits to our websites without cookies (Vercel Web Analytics)
  • PostHog — usage analytics and error reports, only if you agree
  • Stripe — takes payment for subscriptions bought on our website
  • Resend — sends the service’s emails, such as invitations and notifications, and keeps the mailing list for our quarterly email
  • Cloudflare — the automated bot check (Turnstile) on the sign-in page
  • Anthropic — provides the AI model behind the training assistant. Used only when you use the assistant.

We may also share personal information with:

  • Professional advisers (e.g. legal, accounting)
  • Authorities where required by law

We require every third party that handles personal information for us to give it the same or equal protection as this notice describes, and to use it only for the purposes we have authorised.

Sharing with a coach

If you accept a link from a coach, that coach can read a fixed set of your profile information: your height, your bodyweight history, your recorded 1RMs and race times, your training preferences and experience level, and any injuries, exercise preferences and goals you have recorded. They cannot see your email address, your billing details, or anything in the Health section.

A linked coach can also change some of those details for you — your 1RMs, race times, training preferences, height and bodyweight — and the changes they make are listed in your account, under Change log. A coach can send you programs and messages, and can keep their own notes about you in their account.

When you accept a coach’s link, we record that you did, when, and the version of the wording you were shown.

When you train a program a coach sent you, the app also sends that coach how you are getting on with it: your adherence score and its trend, which sessions and exercises you did or missed, and the weights and reps you logged in your most recent sessions of that program.

Nothing is shared until you accept the link, and removing the link in your account settings ends the coach’s access to all of it.

If you are a coach and turn on a public coach profile, your coach display name, bio and photo can be seen by anyone with the link to it, and other users can find you by name in the app’s coach directory.

Friends, leaderboards and training partners

The app has optional social features. You are not on any leaderboard and not visible to anyone until you use them. Every connection is mutual — the person you invite has to accept — and either side can remove it at any time, which ends the sharing straight away.

  • Inviting someone. You invite by typing their email address. We use that address only to look up an existing Take Point Fitness account and create the invitation. If no account holds it, no invitation is created and we do not email that address.
  • Friend leaderboard. Accepted friends can see the name you publish, your weekly adherence percentage, your current streaks, the number of goals you have achieved, and how many personal records you have set recently. They cannot see the sessions, loads or times those figures are calculated from.
  • Training partners and groups. This shares more than the leaderboard does. An accepted training partner — or a member of a group you have accepted an invitation to — can see your name and profile picture, your goals, your recorded 1RMs, your bodyweight history, your adherence percentage and streak, your total sessions logged, and your overall fitness test score (the Operational Readiness Score in the Operator edition, or the Hybrid Athlete Benchmark Score in the Hybrid edition), which is worked out from your fitness test results and not from anything in the Health section. Accepting the connection is what permits this; there is no separate per-item switch.

Someone you have connected to can see the information above for as long as the connection lasts, and we cannot retrieve what they have already seen. Only connect to people you are content to share it with.

Blocking and reporting other users

Blocking. You can block another TPF user. When you do, we record who you blocked and when. Any friendship, training partnership, shared group, request or coaching link between you ends, and neither of you can invite, message or find the other in the app. The person you block is not told. If you block your coach, your coach loses access to the training data you shared with them, as when you remove a coach. You can unblock someone at any time in Account; anything the block ended does not come back on its own. Your blocks are deleted when either account is deleted.

Reporting. You can report another user, or something they sent or published. We store your report — who made it, who it is about, where in the app it happened, the reason you chose and anything you write — and send our team a notice that a report exists, without names or your words. Only our team can read reports, apart from your own reports, which you can see in Account. The person you report is not told who reported them, and cannot see that a report exists. We use reports to keep TPF safe and to enforce our terms.

We keep each report for 12 months from when it was made, as a safety record, and then delete it. If the account of the person who made a report, or of the person it is about, is deleted before then, that account is removed from the report, and the rest of the report is kept until the 12 months are up.

Your data export includes the people you have blocked and the reports you have made. It does not include anyone else’s blocks or reports about you. To report something outside the app, email enquiries@takepointfitness.com.

International Data Transfers

Our database, sign-in and file storage (Supabase) are in the European Union, in Frankfurt, Germany, and the servers that run the app (Vercel) run there too; Vercel delivers the app to you through its worldwide network. PostHog keeps analytics data in the European Union. Some of our service providers are based in the United States, or handle personal information there — for example, Resend stores the emails it sends for us (including sign-in emails) in the United States. Anthropic, which provides the AI behind the training assistant, is based in the United States and processes and stores the assistant’s requests there only; transfers to it are covered by the EU standard contractual clauses with the UK Addendum, which form part of its data processing agreement.

When personal information leaves the UK, we make sure it is protected by one of the safeguards UK law recognises:

  • UK government regulations confirming that a country protects personal data to the required standard (these cover the European Economic Area, and companies in the United States certified to the UK Extension to the EU–US Data Privacy Framework); or
  • contract terms approved for the purpose: the ICO’s International Data Transfer Agreement, or its Addendum to the EU standard contractual clauses.

Data Retention

We retain personal information only for as long as necessary to:

  • Fulfil the purposes described in this Notice,
  • Meet legal, accounting, or regulatory requirements, and
  • Resolve disputes or enforce agreements.

In practice:

  • Your account and what you store in it — for as long as you have the account. You can change or delete most of it in the app at any time.
  • Health section entries — until you delete them, withdraw your consent and choose to delete them, or delete your account.
  • Usage analytics and error reports — kept by PostHog. They are not deleted automatically when you delete your account; email us and we will delete them.
  • Payment records — for as long as UK tax and accounting law requires us to keep them, generally six years.
  • Emails you send us, including feedback sent from the app — in our mailbox until you ask us to delete them or we no longer need them.
  • Our email lists — until you unsubscribe or ask us to delete your details.
  • Results added to the TPF Benchmark percentile pool — kept, because they are not linked to you and so cannot be found to delete.
  • Blocks — until you unblock the person, or either account is deleted. Reports — 12 months from when each was made, then deleted, even if an account is deleted before then (the deleted account is removed from the report).
  • The record of what you accepted — for as long as you have the account; it is deleted with your account.
  • Logs and backups — the backups our database provider keeps so we can recover from a failure are replaced in the normal course, and technical and security logs, such as records of sign-ins, are kept for the periods our providers set.

Deleting your account. You can delete your account yourself in the app or on the website (Account, then Delete account), or by emailing privacy@takepointfitness.com. Your account is locked straight away and permanently deleted after 30 days. Some records are kept after that — for example payment records we must keep for tax purposes — and usage analytics are not deleted automatically. What we delete, what we keep and for how long is set out on our Delete your account page.

Your Rights

You have the right to:

  • Access your personal information and get a copy of it
  • Correct inaccurate information
  • Request deletion
  • Restrict or object to processing
  • Withdraw consent, where we rely on it
  • Receive the information you gave us in a format you can take elsewhere (data portability)
  • Complain to us, and to the Information Commissioner’s Office

You can do much of this yourself in the app: change or delete what you have entered, download a copy of your data (Account, then Your data, then “Export my data”), and delete your account. For anything else, email privacy@takepointfitness.com. We may ask you to confirm your identity first. We will respond within one month, and there is no charge.

Your right to object

Where we rely on our legitimate interests — counting subscription changes in PostHog, keeping the service secure, keeping a record of what you accepted, keeping reports as a safety record, and counting visits to our websites — you have the right to object at any time, on grounds relating to your situation. Email privacy@takepointfitness.com. We will then stop, unless we have compelling legitimate grounds that override your interests, rights and freedoms, or we need the information to establish, exercise or defend legal claims.

Complaints

If you are unhappy with how we have handled your personal information, you can complain to us at privacy@takepointfitness.com. We will acknowledge your complaint within 30 days, look into it, and tell you the outcome.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data-protection regulator: ico.org.uk/make-a-complaint, or call 0303 123 1113.

Cookies and Similar Technologies

We use cookies and similar technologies to:

  • Operate our services,
  • Analyse usage, and
  • Improve user experience.

Essential cookies and similar storage keep you signed in and hold your training data on your device; they are always on, because the service cannot work without them. Analytics cookies and the identifier PostHog stores on your device are used only if you agree, as described under Usage analytics and error reports above.

In detail:

  • Keeping you signed in (essential) — a session cookie from our sign-in provider, Supabase, which lasts up to 400 days or until you sign out. In the iOS and Android apps the session is kept in the app’s own storage instead.
  • Your training data and settings (essential) — kept in your browser’s or the app’s own storage on your device, together with your analytics choice, until you clear it or uninstall the app. Signing out does not remove it.
  • Bot check on the sign-in page (essential, for security) — Cloudflare Turnstile runs on the sign-in page only.
  • Analytics (only if you agree) — PostHog’s random identifier, kept in a cookie and in your browser’s or the app’s storage. The cookie lasts one year and is set for takepointfitness.com, so our other websites on that domain can read it.
  • On our marketing website and TPF Benchmark — a cookie called tpf-consent remembers your analytics choice on both sites; PostHog’s cookie is used only if you agree; and Vercel Web Analytics counts visits without setting any cookie. See Analytics on our marketing website and TPF Benchmark above.
  • Payments — if you subscribe on our website, you pay on Stripe’s own payment page, which uses Stripe’s cookies under Stripe’s own privacy policy.

You can manage cookie preferences through your browser or device settings.

On the website you can also change or withdraw your analytics choice at any time: . This reloads the page and brings the cookie banner back so you can choose again. In the iOS and Android apps, use the “Share usage analytics” switch in Account, under Privacy; it takes effect straight away.

Automated Decision-Making and Profiling

The service works things out about you automatically — that is what a training app does. From what you enter and log, it calculates your training plan, weights, progressions, recovery estimates and scores, and in the Health section it shows how your results have changed over time and reminds you about re-tests. Evaluating your training and health like this is profiling.

These processes do not produce legal or similarly significant effects without meaningful human involvement: the app suggests training, and you decide what to do — you can change or ignore anything it prescribes. The sign-in page also uses an automated check to tell people from bots; if it stops you signing in, contact us and we will help.

Where automated decision-making or profiling is used:

  • It is limited to what is necessary for the stated purpose,
  • Appropriate safeguards are applied, and
  • You may request information about the logic involved and the expected impact.

Where required by law, you may also have the right to:

  • Object to automated decision-making, or
  • Request human review.

Requests can be made via privacy@takepointfitness.com.

If we introduce a new kind of profiling or automated decision, we will update this notice before we start.

Marketing Preferences and Communications

We send marketing emails only to people who have asked for them by ticking a box: the quarterly TPF email and the app waiting list on our marketing website, and TPF Benchmark updates. Using the app does not put you on any of these lists, and the app itself sends you no marketing emails.

You can leave a list at any time, using the unsubscribe link in the email where there is one, or by emailing privacy@takepointfitness.com. Leaving does not affect what was sent before, and it does not stop the emails the service needs to send, such as sign-in emails, invitations and notifications.

Children’s Privacy

You must be 16 or over to create an account, and if you are under 18 a parent or guardian must agree to our Terms of Service for you. When you sign up, or set up an account a coach created for you, we ask for the month and year you were born, and we do not open an account, or finish setting one up, for anyone under 16. We keep it on your account as a date of birth (the last day of that month). We use it to keep the AI training assistant and the Health section for people aged 18 and over, and to decide which features suit people aged 16 and 17. It is not shown to a coach or anyone else.

If you are 16 or 17, we collect less: we do not run product analytics for you, we do not ask how you heard about us, and we do not collect body-fat or body measurements, injuries or a list of exercises that cause you pain. Everything sent between your device and our service is encrypted in transit. Our database only lets each account read its own information and what other people have chosen to share with it. Photos of health documents are kept in private storage (unlike profile photos, described above). Your password is handled by our sign-in provider and is never stored in readable form.

No system is completely secure, but we continuously review and improve our safeguards.
